 Position Title: Senior Project Assistant (Project Development)

Duty Station: Kyiv, Ukraine

Classification: General Service Staff, Grade G6

Type of Appointment: Special Short-Term, Six months with possibility of extension

 Context: 

Under the overall supervision of the Chief of Mission (CoM) in Ukraine and direct supervision of the Project Officer (Project Development and Reporting), the successful candidate will be responsible for supporting project development efforts in the Response, Recovery, and Resilience Unit (RRRU).

 Core Functions / Responsibilities: 

  1. Assist in the planning, coordination, and implementation of RRRU project development activities – preparation of concept notes, full proposals and budgets, results frameworks and monitoring frameworks – in line with IOM internal guidance and policies and donor requirements.
  2. Compile, summarize, and analyse information/data for RRRU project development and the creation of, inter alia, briefs, information sharing and communication products.
  3. Act as focal point for administrative coordination of RRRU project development under the guidance of the Project Officer (Project Development and Reporting), involving regular and extensive liaison with diverse organizational units and external parties to initiate requests, obtain the necessary information/data, follow-up for revision and clarification after review, etc.Use IOM corporate tools such as PRIMA FOR ALL for project development. Aid the Project Officer (Project Development and Reporting) in keeping the different PRIMA tools updated (risk monitoring, MS Project, results monitoring).
  4. Monitor RRRU project development workflows and processes, identify any shortfalls, and bring these to the attention of the Project Officer (Project Development and Reporting) and suggest corrective measures.
  5. Prepare and update reports, briefing notes, graphics, statistical tables, and other forms of documentation.
  6. Organize meetings, workshops and training sessions as necessary; prepare training materials and participate in the delivering of capacity building workshops for staff and implementing partners.
  7. Aid the Project Officer (Project Development and Reporting) to engage with donors, including in the provision of information and updates about the RRRU to donors, research on donor priorities and funding opportunities, and feeding back the relevant information to RRRU colleagues.
  8. Assist monitoring and evaluation of RRRU programming.
  9. Respond to complex internal and external information requests and inquiries; set up and maintain files/records.
  10. Participate in meetings and conferences; maintain effective liaison and coordination with local authorities, partners, United Nations agencies, intergovernmental and non-governmental organizations, donors and other stakeholders relevant to the RRRU for project development purposes.
  11. Provide inputs for the development of Standard Operating Procedures (SOP) pertaining to RRRU project development, programmatic concept papers, response plans and provide support for the development of new RRRU projects.
  12. Support the review and editing of publications, studies and other documents drafted by project teams.
  13. Perform such other duties as may be assigned.

Required Qualifications and Experience

Education 

  • High school diploma with six years of relevant experience; or,
  • Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with four years of relevant professional experience.

 Experience 

  • Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups;
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
  • Experience in soliciting, receiving, organizing, and sharing large volumes of information with internal and external stakeholders.
  • Experience in project development, report writing and editing.
  • Prior work in time-sensitive settings.
  • Experience in donor relations.
  • Excellent writing, compilation, and analytical acumenProven ability to use the Microsoft Office Suite and familiarity with databases
  • Knowledge of issues pertaining to migration in Ukraine, as well as humanitarian and international development concepts and intervention areas
  • Familiarity with results-based reporting, monitoring, and evaluation concepts
  • Knowledge of project management cycle
  • Excellent oral communication and interpersonal skills

Languages

Fluency in English and Ukrainian is required.
